Dear Lessors and Tenants,
All of our best wishes to those who have been impacted by the COVID-19 virus directly or indirectly. These are unprecedented times that we are going through right now. Without question, these happenings and the rate of change is all very unsettling, concerning and even distressing for most people while concerning the safety and protection of our health, homes and precious families. We understand this is a priority for you all right now.
In light of the ever-evolving Coronavirus outbreak, we want to take this time to address and reassure you all of the measures we as a business and property managers are enacting to ensure the ongoing health, safety and well-being of our clients.
In response to COVID-19, we have moved quickly to introduce hygiene practices into our office as per the recommendations by the Australian Government Department of Health. All staff members have been instructed to maintain due diligence when it comes to their health and hygiene and have been advised to remain at home if they become unwell. To this date, we have not had a staff member inform us of ill-health. We can also assure you that our staff have not and will not be traveling overseas during these uncertain times. We will remain vigilant with this; we are a small friendly office, so this won't be difficult.
At this point, we are carrying out business as usual with extra care being taken to ensure the safety of our clients and staff. We will be increasing our hygiene standards before and after each interaction with any of our clients during all routine inspections as is required. Additionally we will be calling to confirm prior to any inspections being conducted to ascertain if it is okay to proceed as normal, based on your individual needs and concerns and will bring our hand sanitiser with us.
We will be checking that you and your family have been well and are not under any form of self-isolation, do not have any health concerns, and have not traveled overseas recently or been in contact with someone who has tested positive for COVID-19 and what exactly your concerns are with our visit.
It is important that routine inspections continue as normal if possible so that all landlord insurance policies remain in effect and properties are maintained for safety, health and least liability.
To also ensure the continued well-being of our clients and staff we request that you limit your visits to our office where possible. If you have recently returned from overseas, are unwell or have been in contact with someone who has tested positive for COVID-19 we ask that you please refrain from coming into our office. The office will be closed and open for pre-arranged appointments only and we will endeavor to manage signing of legal paperwork and communication via email where possible.
Your safety is critical and we will continue to monitor the situation with the Australian Government Department of Health so we can prepare for any outcome as the situation evolves and keep you updated should any further changes occur.
To ensure your needs are met and safety standards met we propose the following:
Routine Inspections (4-monthly inspections are essential for insurance purposes)
Face masks are difficult to purchase and health authorities state that these are best left for medical needs, but if these are able to be purchased and available, we shall wear these.
We will be carrying hand sanitation and washing our hands prior to entering and leaving your property.
We will ensure we do not touch your furniture at all during the inspection.
The inspection time will be limited to 15 minutes or less as this is recommended for best social distancing.
Tenancy paperwork, orientation and renewal
We will exchange legal paperwork electronically where possible.
Providing orientation and renewal information by email.
Maintenance needs/tradespeople access
We will manage the best we possibly can, depending on the nature and urgency of the maintenance. All services being used are also mindful of your best protection and putting these same practices in place. We will discuss each individual visit with you to ensure the best practice possibly is adhered to.
Keys Management
Keys will be disinfected each time used when returned to the office and before leaving the office for use at your property. The iPad cover will also be disinfected before and after use for each inspection.
